At 6:40 on a Wednesday evening, a man sits on his sofa with a sharp pain in a back tooth.
He finds the dental clinic three minutes from his house. There is a chat bubble in the corner of its website. He taps it and types: Do you take emergencies? My tooth is killing me.
Nothing happens.
He taps the next clinic. That one answers in eleven seconds. By 8:30 next morning he is their patient, worth thousands over the years ahead.
The first clinic never knew he existed. No phone rang, no form was filled in. Ninety seconds, entirely on a screen.
That customer is what this book is about.
Picture ten people messaging your business after hours this week. Suppose three give up and go elsewhere before you reply in the morning. You never see those three, so you never miss them. That is what makes them the most expensive leak a small business has.
This is a practical handbook for closing that leak. No code, no call centre, and no pretence that a robot can run your business for you.
WHAT YOU'LL SET UP
- A website chatbot widget that greets, answers 24/7 and captures a contact
- WhatsApp, Instagram and Facebook Messenger auto replies that don't read like a machine
- A missed call text back, the fastest win here, and it takes about an hour
- An AI receptionist and virtual assistant for after hours calls and overflow
- A shared inbox and help desk that drafts your email replies for you
- FAQ answers, appointment booking and order status updates, handled without you
- A knowledge base built from the questions you answer a hundred times a year
AND WHERE TO STOP
Most AI advice tells you what to automate. This book is equally clear about what to protect. You will learn the green zone where a chat bot beats a stretched human, the red zone it must never touch (complaints, refunds, custom prices, anything legal, medical or financial), and the handoff that moves someone to a person without making them repeat themselves.
An AI assistant is a brilliant front desk and a terrible final authority. Get that line right and customers feel better served than ever. Get it wrong and you automate the moments that make people leave.

- Copy and paste scripts for greetings, prices, bookings, complaints and the handoff

- Five real businesses followed end to end: a dental clinic, a plumber, a salon, a candle shop and a B2B reseller
- The four numbers worth tracking, and a one page scoreboard

WHAT IT ACTUALLY BUYS YOU
In the worked example, a salon received 320 customer service messages in a month. The assistant handled 230 with no staff time and captured 64 contacts from after hours chats that previously went nowhere. At two to three minutes a reply, that is eight to eleven hours handed back that month, on top of the leads.
Your numbers will differ. Chapter 17 shows you how to find your own.
